Privacy Policy.
How we collect, use and protect information across Mindhelpa’s mental health services and Ranka’s business software.
Mindhelpa’s free screenings and Ranka’s paid business subscriptions are separate services. This policy covers both while explaining the differences.
01. Who we are and what this policy covers
Mindhelpa Limited (“Mindhelpa”, “we”, “us” or “our”) provides the Mindhelpa website at mindhelpa.com and operates Ranka, a separate business-focused SEO content service currently available at getranka.onrender.com. This policy explains how we handle personal information when you visit these websites, use our services, contact us, or make a payment.
Contact: contact@mindhelpa.com. Business address: 1st Floor, North Westgate House, Harlow, Essex, CM20 1YS, United Kingdom. If another organisation independently provides a clinical consultation, its own privacy notice may also apply to the clinical records it controls.
For personal data that Mindhelpa determines the purposes and means of processing, Mindhelpa acts as the data controller. For certain business content processed through Ranka on a customer’s instructions, our role may be that of a processor; the applicable agreement and actual processing arrangements determine our role.
02. The services covered
Free self-screenings across mental health topics, screening results and downloadable reports, account or report features where available, and paid doctor consultations.
Business onboarding, search planning, AI-assisted article creation, optional publishing connections and paid subscriptions. Ranka is not a clinical service.
Mindhelpa’s free screening service and Ranka’s paid subscription are different products. Payment for Ranka does not turn a free Mindhelpa screening into a paid service.
03. Information we may collect
- Contact and account information: name, email, login information, account settings and messages you send us.
- Screening information: answers to questionnaires, concerns you choose to describe, scores, results and reports. This information may reveal sensitive details about your mental health.
- Consultation information: appointment requests, relevant health information and communications needed to arrange or deliver a consultation, where applicable.
- Ranka business information: business name, website, products, service areas, goals, public site content, draft articles, approval choices and publishing connection details.
- Payment information: plan, transaction status, invoices, payment references and limited billing details. Card entry and payment processing may take place on Stripe’s systems.
- Technical information: device/browser details, approximate location derived from IP address, access and security logs, cookies and service usage events where generated by the tools in use.
Some screening pathways may be available without creating an account. That does not necessarily mean that technical information is never processed by the website or its hosting provider.
04. Sensitive health information
Health information receives additional protection under UK data protection law. We process screening answers and any clinical information only for clearly identified purposes, such as providing a screening you request, supporting an appointment or meeting applicable legal and professional obligations.
Depending on the activity, our legal condition for processing special-category data may be your explicit consent or, for eligible clinical care delivered under professional confidentiality obligations, the condition for provision of health care. Where explicit consent is required, it must be requested through an appropriate separate choice; reading this policy alone does not amount to consent.
We do not use identifiable mental health screening answers as advertising audiences or sell them to advertisers. Clinical professionals may have their own legal and record-keeping obligations.
05. How and why we use information
| Purpose | Typical legal basis under UK GDPR |
|---|---|
| Deliver requested screenings, accounts, reports, consultations and Ranka features | Contract or steps requested before entering a contract; separate special-category condition where health data is involved |
| Process payments, subscriptions, receipts and billing queries | Contract and legal obligations |
| Keep services secure, prevent abuse and diagnose errors | Legitimate interests, subject to balancing individual rights |
| Respond to questions and support requests | Contract or legitimate interests, depending on the request |
| Meet accounting, tax, regulatory and legal requirements | Legal obligations |
| Send optional marketing messages where permitted | Consent or another lawful basis where applicable, with an unsubscribe option |
Where consent is the basis for a particular activity, you may withdraw it, although withdrawal does not affect processing already carried out lawfully.
06. Screening reports and automated results
Mindhelpa screening tools help users reflect on symptoms and patterns. Answers may be scored or summarised automatically to generate an on-screen result or downloadable report. A screening result is not a medical diagnosis, a prescription, or a replacement for a full assessment by a qualified professional.
We do not intend screening scores alone to make decisions that have legal or similarly significant effects on you. If a particular service changes to include such decisions, we will provide additional information and applicable safeguards.
07. Ranka content and AI processing
Ranka may read publicly accessible content from a business website and process information supplied during onboarding to produce search plans and draft articles. As described on Ranka’s published privacy page, relevant service providers may include an AI provider such as Anthropic, email delivery services, hosting/database providers and error-monitoring services.
Business customers should only provide information they are authorised to use. Do not enter identifiable patient records, confidential clinical details, payment-card numbers or other unnecessary sensitive personal information into Ranka article prompts or business descriptions. AI-assisted output should be checked before publication.
If a customer uses Ranka to process personal data on behalf of another organisation, additional contractual data protection terms may be required.
08. Payments and subscriptions
Payments for Mindhelpa consultations and Ranka subscriptions may be processed by third-party payment providers such as Stripe. Payment providers handle payment credentials and may conduct fraud and identity checks under their own privacy notices. We may receive payment confirmation, billing contact information, subscription status and transaction references to administer the service.
Ranka’s three-day trial and subsequent monthly or annual renewal are explained in our Terms of Service and at checkout. We do not require payment to access Mindhelpa’s advertised free screenings.
09. Who may receive information
We share information only where reasonably necessary for the purposes described, with appropriate safeguards as required by law. Recipients may include:
- Healthcare professionals and clinical service partners involved in a consultation you request.
- Payment and billing providers, including Stripe.
- Hosting, database, email delivery, security and technical support providers.
- AI content-processing providers supporting Ranka business publishing functions.
- Regulators, professional advisers, law enforcement or courts where disclosure is legally required.
Providers and subprocessors can change as our services develop. This notice should be updated if the actual providers or data flows materially change.
10. International transfers
Some service providers may process information outside the United Kingdom, including in the United States or other countries. Where UK data protection law requires it, we use an applicable adequacy arrangement or appropriate contractual safeguards and assess relevant transfer risks. You may contact us to ask about the safeguards used for a particular transfer.
11. How long information is kept
We keep personal information only for as long as reasonably necessary to deliver the service, maintain records, handle disputes, protect our systems and meet legal obligations. Account content, screening reports, clinical records, billing records and security logs may have different retention periods.
Where you request account deletion, we assess what can be deleted promptly and what must be retained for legal, clinical, accounting or security reasons. Backups may be removed on a separate technical cycle. Contact us for the retention period relevant to your records.
12. How we protect information
We use organisational and technical safeguards appropriate to the sensitivity of information, including access controls and security monitoring. No internet service can promise absolute security. Please protect your account credentials, use a strong unique password and contact us promptly if you suspect unauthorised access.
For clinical information, additional professional confidentiality duties may apply to the clinician or healthcare provider responsible for your care.
13. Cookies and similar technologies
Our sites may use essential cookies for login sessions, security and basic functionality. Additional analytics, preferences or other technologies may be used if enabled and permitted by law. Third-party checkout providers may set cookies on their own pages for fraud prevention and payment processing.
Where consent is required for non-essential cookies, we will request it before using them. You can also manage cookies through your browser. Cookie practices may differ between Mindhelpa and Ranka.
14. Your data protection rights
Subject to applicable law, you may request access to your personal information, correction of inaccuracies, erasure, restriction of processing, data portability, or object to certain processing. You may also withdraw consent where consent is relied upon.
Email contact@mindhelpa.com with the subject “Data protection request”. We may need to verify your identity before responding. You also have the right to complain to the UK Information Commissioner’s Office.
15. Children and urgent mental health needs
Some mental health services may have age or parental involvement requirements. Users should follow any age restrictions or consent instructions shown for a particular assessment or consultation. If a parent or guardian contacts us about a child’s information, we will consider the child’s rights and the applicable law.
Mindhelpa is not an emergency or crisis-response service. If you or someone else is in immediate danger, contact your local emergency service or urgent healthcare provider.
16. Changes and contact details
We may update this policy when our services, suppliers or legal obligations change. Material changes will be communicated where required. The date at the top identifies this version.
